These Terms & Conditions (“Agreement”) govern the relationship between Ashley @ Fora (“we,” “us,” or “our”) and the client (“you” or “your”) for travel planning and related services. By engaging our services, you agree to the following terms:
1. Scope of Services
I provide professional travel planning, booking, and support services, which may include:
- Itinerary creation
- Destination research
- Booking of flights, accommodations, tours, and transfers
- Travel insurance assistance
- Ongoing support during your trip
I act as an intermediary between you and travel suppliers. All bookings are subject to the terms and conditions of the individual suppliers.
2. Planning Fees & Deposits
Extensive travel may require additional services. To compensate for ongoing support for the duration of your travel, a deposit will be required before booking. All fees will be discussed prior, and can be submitted through a secure PayPal link. Some services may require a non-refundable planning fee or deposit, including:
- Custom Trip Design: Flat fee or hourly rate may apply (to be disclosed in advance)
- Specialty Travel: Requires a 15% deposit of the estimated trip total (non-refundable, applied to final payment)
- Fees compensate for time, expertise, and administrative work, and are separate from the cost of travel bookings.
3. Payments
Occasionally, some hotels will require a deposit to reserve a hotel and/or resort. If you are booking an extended stay (more than 3 days), or a specialty resort, there is likely to be a deposit required.
- All payments are processed in accordance with supplier payment schedules.
- Payment methods accepted: [credit card, PayPal, bank transfer, etc.]
- You are responsible for ensuring timely payment to avoid cancellation or penalties.
4. Cancellations, Changes & Refunds
- Cancellation and change policies vary by supplier. We will communicate applicable terms at time of booking.
- Supplier penalties and fees are your responsibility.
- We charge a service fee for any itinerary changes after confirmation.
- Refunds, if any, will be subject to supplier policies and timelines.
5. Travel Insurance
I strongly recommend purchasing travel insurance to protect against trip cancellation, medical emergencies, delays, and other unforeseen events. I will provide options but am not responsible for coverage decisions.
6. Documentation
You are responsible for ensuring all travelers have valid:
- Passports (with sufficient validity)
- Visas (if required)
- Health or vaccination documentation (if required)
I provide general guidance but do not guarantee entry compliance for any country.
7. Limitation of Liability
I am not responsible for:
- Acts or omissions of third-party suppliers
- Flight delays, cancellations, or missed connections
- Force majeure events (e.g., weather, natural disasters, strikes, pandemics)
- Personal injury, loss, theft, or damage during travel
By accepting this Agreement, you release me from any liability for damages resulting from supplier issues or events beyond our control.
8. Support During Travel
I provide ongoing support before and during your trip for itinerary-related questions, emergency rebooking, and general assistance. Support is available during business hours and limited after-hours/emergency contact will be provided.
9. Client Responsibilities
You agree to:
- Provide accurate traveler information
- Review and approve itinerary details in a timely manner
- Notify us promptly of any changes or issues
- Comply with local laws and travel advisories
10. Privacy Policy
We respect your privacy. Personal data provided for travel planning will be used solely for trip arrangements and will not be shared beyond necessary suppliers.
11. Governing Law
This agreement shall be governed by and interpreted under the laws of the State/Province of [Insert Jurisdiction], without regard to conflict of law principles.
